HomeMy WebLinkAbout2018-07-25 FOD MINUTES APPROVED MINUTES Date Friends of the Caldwell Train Depot Meeting July 25, 2018 ROLL CALL: Present: Ed and Ina Adler, Cynthia Ripke-Kutsagoitz, Margaret and Jerry Langan, Dave Wilson, Marvin Dennis,Jim Porter,Jacqueline Hernandez, Mark Pemble, and Debbie Geyer. Absent: DiAnne Wilson, Sharon Porter, Mike and Tammy Dittenber,and Irma Chambers Margaret Langan called the meeting to order at 6:30 p.m. at the Caldwell Train Depot. AGENDA: MOVED by Jim Porter, SECONDED by Dave Wilson to add "Gift Store Items" under New Business - Other Items of Interest. MOTION CARRIED MINUTES: MOVED by Jim Porter, SECONDED by Dave Wilson to approve the minutes as published. MOTION CARRIED FINANCE REPORT: (EXHIBIT A) Debbie Geyer distributed the financial report noting the current balance of$6,627.07. MOVED to Dennis Marvin, SECONDED by Cynthia Ripke-Kutsagoitz to approve the financial report as presented. MOTION CARRIED OPEN HOUSE SCHEDULE: It was suggested that each host/hostess try to locate a special feature to hold in the depot in conjunction with the open house event to enhance attendance. Upcoming open house events are scheduled as follows: August 4, 2018 Host: Jerry& Margaret Langan Special Feature: Rock painting group (Rock Painting with Rosa) September 15, 2018 (Indian Creek Festival) Host: Caldwell Model RR Club Special Feature: Model RR Displays October 6, 2018 Host: Mike Pollard Special Feature: Pending 1 Pa €e NEW BUSINESS: (REPORT ONLY: RENTAL FEE INCREASE) Debbie reported that it has been recommended by City Staff (after reviewing the revenue vs. expenditure report for the train depot event center) to raise the rental fees. The adjusted fee will be included in the City budget, which will go to public hearing on August 20, 2018. If approved, the new rates will be effective October 1, 2018. • $400 rental plus tax for the event center • $150 rental plus tax for the outdoor plaza area (2018 WINTER WONDERLAND) Discussion was held concerning various options for the 2,500 cookies needed for the train depot open house in conjunction with Winter Wonderland, Jerry Langan offered to contact Job Corp for their culinary students to bake the cookies. If this option is not feasible;Jim Porter and Jackie Hernandez will research other options with area churches/organizations. (2018 NIGHT OF HISTORY EVENT) (EXHIBIT B) Discussion was held concerning for the 2018 Night of History event. It was noted that the historical gala event idea previously discussed at the March 8, 2018 meeting is not possible to organize this year. Chuck Randolph has agreed to conduct a downtown historical walking tour: • Tour Leader: Chuck Randolph, Caldwell Historian • Date: Thursday,September 20, 2018 • Time: 6:00 p.m.—7:00 p.m. • Place: Meet at the Caldwell Train Depot for ease of parking and assembly • Special Feature: Idaho Hotel building owned by Bob & Kelli Jenkins (724 Arthur Street — upstairs) MOVED by Jim Porter, SECONDED by Dave Wilson to appropriate $500 for advertising the event in the Idaho Press Tribune and the Caldwell Perspective and $50 for a gift certificate at a local restaurant for Chuck Randolph. MOTION CARRIED NOTE: The FOD quarterly meeting calendar will be adjusted to reflect that the Night of History event will take the place of the FOD September meeting originally scheduled for September 13, 2018. (REPAIRS-TRAIN DEPOT) • The cement on the back landing is in disrepair. Debbie reported that the Engineering Department would be bidding out the project. • The roof leaking issue is being addressed by Upson Roofing. It was pointed out that there is also water damage in the bay window within the same room. (southeast window and ceiling) (ITEMS FOR THE EVENT CENTER AND INTERPRETIVE CENTER) • Interpretive Center Merchandise: It was suggested that the merchandise be inventoried and possibly an order made for additional kiddy items, especially relating to Thomas the Train. Mark Pemble will follow-up concerning this matter. 21 Page MOVED by Ina Adler, SECONDED by Jim Porter to appropriate $200 for additional gift shop items as determined by Mark Pemble.
