Board Meeting Minutes
Monday, May 8, 2017
Sharon Kolins, Board Chairman, called the meeting to order at 1:00 p.m. with the Pledge to the
Flag.
Attendance/Roll Call:
Present: Sharon Kolins, Mike Pollard, Mary Twitchell, Gerald Shea, Donna Queen, Billy
Copeland, Carol Murphy, Leonard Lewis, Michelle Gamble and Lynda Lewis
Guests: Patty Brackett and Russ Wiehe
Absent: None
Our newest Board member, Clayton Klingingsmith, has decided to not accept the Board position,
indicating prior obligations are more time consuming than he thought.
Minutes Reviewed: Minutes of the April 2017 meeting were reviewed. One correction was
noted.
• Motion to accept the minutes with the correction: Mike Approved, Carol
Seconded. Passed
Treasurer's Report: The CD that matured was taken care of. Two more CD's will be maturing
soon. The signatures on the CD's need to be updated with the current Board.
• Motion to accept the report as provided: Billy Approved, Mary Seconded.
Passed
Bingo Report: No Report submitted.
Coordinator's Report:
➢ April finances were reviewed.
➢ Shannon is now certified as a Food Kitchen Manager. Shawna has taken
the Kitchen Assistant class and is now certified as a Kitchen Assistant.
➢ The annual strip and wax of the floors is scheduled for Saturday, May
13th and May 27th
➢ Donna will be out of the building on Friday, May 12th and Monday, May
15th.
➢ The front wall of the building has been leaking. Apparently the sprinklers
have been hitting the wall directly. The sprinklers have been adjusted.
The City will be checking the front wall to see if anything needs to be
done to prevent any more leaks.
➢ The indoor yard sale has been scheduled for Saturday. June 3rd. All
money raised will be placed in Nutrition.
➢ United Health Care will be here on May 17th with ice cream.
➢ Eggs cannot be used in the kitchen. The Health Department states that
because of the age of the individuals served at the Senior Center there is
too high a risk of salmonella and other side effects for eggs to be used.
The liquid eggs are used instead of eggs, as per the Health Department.
➢ Crane Alarm was here to check the alarm system. The fire extinguishers
and the hood in the kitchen were checked. Everything is working well.
The alarm company sends this information to a website that insurance
companies look at, so this should help with insurance rates.
> The Senior Center will be closed Monday, May 29th for Memorial Day.
> Things in the pool room are working well. There has been an increase in
people coming in to play pool.
• Motion to accept the Coordinators report: Michelle Approved, Carol
Seconded. Passed.
Bills:
Cue chalk, one box $5.84, printer ink $53.96, Janitor for Hire bill and SHIBA
reimbursement for counseling.
• Motion to pay the bills: Billy Approved, Mary Seconded. Passed.
Old Business:
➢ Cook vs. the Senior Center.No update has been received.
> Audit of the Senior Center. Gerald is getting a price quote from Bailey &
Co and plans to check with other Senior Centers to see how they have
handled audits. He will continue to do research on this.
• Motion to have Gerald research audit options and report his findings
at the next Board meeting: Mary Approved, Leonard Seconded.
Passed.
> The store has new managers. Mary will continue to do Monday Silent
Auction and be a back-up for Clay and Julie Klingingsmith, who are the
new managers. Mary will make sure they have a key.
➢ New window coverings. Donna has received one bid and will get another
this week on the two windows in the office and one in the pool room. The
one bid is $332.45 for one inch mini blinds and tinting.
➢ Donna has not heard back from the ladies who wanted to start a Yoga
class at the Senior Center. Let's consider the request as ended. They are
no longer interested.
New Business:
> Many of the cue sticks in the pool room are in bad shape. It was
suggested to check on repairing most of them. Donna will look into
getting a price on the repair of the cue sticks.
> Donna is requesting a draw from the Bingo funds to pay some Nutrition
bills. She is requesting $1163.81.
• Motion to pay Nutrition bills from Bingo funds: Gerald Approved,
Carol Seconded. Passed.
> There is a request to use the Senior Center on Saturdays for teen dance
lessons. They hinted at not paying for the use of the facility. Since we are
not allowing them to use the Senior Center, it was suggested they should
check with Parks & Recreation for a location for their dance lessons.
> There is another request to use the Center for an embroidery class on
Thursday afternoons. Donna will get more information.
> There was a request for a pay raise for the asst. cook now that she is
certified. Her current pay is $9 an hour. A $1 an hour raise was suggested.
(cook is at$12.50)
• Motion to approve a $1 an hour raise for the asst. cook, starting this
next pay period: Carol Approved, Mary Seconded. Mike Nay (feels
there should be a larger gap between cook & asst. cook salaries).
Majority Approved. Passed.
➢ Patty Brackett makes copies of all receipts, money counted, etc. and takes
the copies home, daily. She indicated they are back-up copies, just in
case. She was told that the Center Operations Manual Rules state that no
financial records are to be taken out of the building. Patty acknowledged
this and promised that she will create a file here and leave her copies in
that file.
➢ Center Operations Manual. Donna will either send the manual via e-mail
or make copies of the manual for all board members to read. We will
discuss the manual at the next meeting.
➢ Mary indicated that Donna needs to mingle and talk to people.
➢ Donna stated that there is a "negative under current" here at the center.
People have brought up old financial concerns of past employees that
were taken care of long ago. Where are they getting this information? She
also indicated that Patty changes her time and her hours as she pleases.
Mike suggested that Sharon along with two other Board members need to
talk with Patty to find out just what her problems are. Sharon was in
agreement with this.
