Minutes
The meeting was called to order by Rudi Lotz at 6:35 p.m.
Members Present: Rudy Lotz, Barbara Lotz, Mary Garceau, Jim Blacker, Dave Wilson, and Debbie Geyer.
Members Absent: Garianne Goslin, Ron Garceau, Dave & Sheila Williams, Frank & Mary Ann Smith, Ed
& Ina Alder, Barb Sayler, and Steve & Shirley Alsup.
Agenda Approval:
MOVED/Geyer, SECONDED by/Blacker to approve the agenda as presented. Motion approved.
Past Minutes:
MOVED/Geyer, SECONDED by/B. Lotz to approve the minutes of April 8, 2010 and May ] 3, 2010 as
presented. Motion approved.
Finance Report:
Debbie reported that the current balance on hand is $7,014.68 which includes a recent payment to the Canyon
County Fair Board for booth rental of $350. It was noted that a letter has been sent to Adair Homes to recover
one-half of the booth rental since they will be sharing the booth with the Friends of the Depot during the fair.
MOVED/B. Lotz, SECONDED byBlacker to received the fiance report as presented by Ms. Geyer. Motion
approved.
Old Business:
Refrigerator Cabinet Construction:
� Dave Williams was not in attendance to give an update on this project.
Nomination of New Board Member:
This item was continued to the next Regular Meeting to be held on July 8 for further discussion.
Union Pacific Railroad Steam Engine Arrival:
It was reported that a Union Pacific steam engine will be coming to Boise on September 19 & 20.
Debbie contacted the Union Pacifrc Public Relations Officer to ask if the engine would stop in
Caldwell on its way to Pocatello. The request was denied.
Electricity to be installed in the depot storage unit:
MOTION/Blacker, SECONDED by/R. Lotz to approve electricity being brought into the building and
as well a heater unit installed in the wall. Debbie to proceed forward with this project in securing an
electrician to complete the job. It was noted that the approximate cost estimate received was $180. �
ACTION: Debbie to pursue this project with the electrical contractor. !
A-Frame Sidewalk Signage for the Depot:
Debbie reported that she received a cost estimate for A-frame signage for the depot from Superior
Signs. Discussion followed on the various types of signage to include: wipe-off board, display a
permanent message on poster board, sliding letters, and plex-a-glass protection for changing the
poster board message on a regular basis. Mary G. commented on the signage that she recently

ordered for use at The College of Idaho. Debbie to contact Mary G. for more information.
MOTION/Blacker, SECONDED by/B. Lotz to authorize Debbie purchase two signs for under $500
to be used at the depot — one permanent message concerning the depot/plaza being used for a private
party and second sign to be interchangeable with information concerning the depot being used for a
special feature. Motion approved.
ACTION: Debbie to pursue ordering the sign.
New Business:
Donation to the Interpretive Center:
The settee donated by Mr. & Mrs. Sharp was presented. Discussion followed concerning the
placement of a rope across the bench to avoid having anyone sitting on the piece of furniture. It was
noted that the furniture was originally from the Saratoga Hotel and is approximately 100 years old. I
Barbara Lotz will find a decorative cord to use on the bench.
Upcoming Events:
Barbara Lotz presented a schedule of upcoming special features in the depot on Saturdays when the
building is open for tours:
Saturday, October 2: Caxton's will be providing a display in the building from noon to 4:00 p.m.
Saturday, November 6: Planning is underway for a Christmas bazaar in the depot.
Saturday, December 4: Nativity display in the depot. (Please contact Barbara if you have a nativity
set you would like to display in the depot.
• September Committee Meeting Idea:
September 11: In lieu of a business meeting, it was determined of offer a dinner theater trip on the
Thunder Mountain Train to Cascade. Each member would be responsible for purchasing a ticket for
them and their spouse/guest. There is a discount if ten or more reservations are made within the
group. Barbara will contact the various members and make reservations accordingly.
• December Committee Meeting Idea:
Have a potluck in conjunction with the meeting. Possibly have a musical group provide entertainment
for the evening. Discussion held about inviting the Street Department to attend this event to express
our appreciation for their involvement with projects at the depot.
ACTION: Anyone interested in going on the dinner train on September 1 l, contact Barbara Lotz as
soon as possible at 455-8843 for reservations.
Honorariums for special speakers associated with FOD meetings:
It was determined that a special pen or other marketing items could be ordered through I.D.E.A. The
item could be made available in the gift store as well as gift of appreciation for speakers/presenters.
ACTION: Rudy and Barbara to gather information concerning this issue and bring it back to the
committee for further action.
Policy concerning items to be sold within the Depot Interpretive Center:
Discussion was held concerning the necessity of having only approved items sold within the
Interpretive Center as made available through the Friends of the Depot.
It was determined that any persons wanting to market merchandise would do so under the umbrella of
other events such as a vendor at the Friday Night Express, etc. It is understood that if the Friends of

the Depot open up the depot for bazaars/trade shows, then vendors would be invited to make their
goods available at that time within the event center portion of the depot.
Caldwell Model Railroad Club — Use of the Train Depot:
Dave Wilson reported that the Caldwell Model Railroad Club (CMRC) would like to annually use the
depot on National Train Day to display trains and provide information to the public about the history
of rail transportation. The CMRC has requested that the depot rental fee be waived for this annual
event. Discussion followed. It was determined that since the Caldwell Model Railroad Club partners
with the Friends of the Depot in providing the model railroad display in the Depot Interpretive Center
and maintains the display on a weekly basis, such allowance should be considered.
MOTION/Blacker, SECONDED by/R. Lotz to waive the depot rental fee to the Caldwell Model
Railroad Club for their annual National Train Day open house event to be held at the Caldwell Train
Depot. It is understood that this is an annual one-day event open to the public. Motion carried.
Canyon County Fair:
Debbie reported that the booth fee of $350 has been paid by the Friends of the Depot. A letter has
been sent to Adair Homes concerning the cost share of the booth and available space to display
information about Adair Homes.
It was suggested that the merchandise train display from the Interpretive Center be used in the booth
to house items available for sale. It was also determined that Rudy should purchase a DVD player to
use in the booth and in the Interpretive Center. It was noted that such equipment is typically
available for under $100. The computer in the Interpretive Center would be replayed by the DVD
player.
ACTION: Barbara requested that those individuals that are interested in warking in the booth please
contact her as soon as possible so that the volunteer schedule may be finalized.
ACTION: Debbie to check with the City departments and see who is available to haul the train
display to the O'Connor Field House at noon on July 29`�'.
Securing the roof/awning from entrance of birds:
It was reported that David Persha has volunteered to help solve and repair the overhang situation at
the depot as it relates to birds nesting in the structure. He is a professional carpenter and has worked
on historical structures in the past. He should be available to conduct the needed repairs in the second
week of August.
