Caldwell Friends of the Depot October 15, 2010 Caldwell Train Depot � �°-;��,�-;��-,� a E���° 6:30 PM � ��.L�...L�-.�.v Minutes �...�.�.�....��:���... _.a_ The meeting was called to order by Rudi Lotz at 6:30 p.m. Members Present: Rudy Lotz, Barbara Lotz, Sheila Williams, Ron & Mary Garceau, Mary Ann Smith, Marvin Dennis, Ed & Ina Adler, and Debbie Geyer. Members Absent: Garianne Goslin and Jim Blacker. Agenda Approval: MOVED/E. Adler, SECONDED/M. Dennis to approve the agenda as presented. Motion approved. Past Minutes: Minutes were not distributed. It was determined that the August and October minutes at the November 11 meeting. It was noted that there was not a September 2010 meeting. Finance Report: Debbie reported that the current balance is $6,665.58 with no outstanding invoices. MOVED/M. Dennis, SECONDED/E. Adler to approve the financial report as presented. Motion approved. Old Business: Refrigerator Cabinet Construction: It was noted that no report was available from Dave Williams regarding this issue. Rudy stated that he would approach Dave concerning an update on the progress of the refrigerator cabinet. Discussion was held concerning the feasibility of seeking a bid for the kitchenette unit as previously discussed. Further action was tabled until Rudy and/or Dave could report back at the November meeting. Ideas for Committee Outings: It was suggested that Rudy research a possible train ride outing on either the Sumpter Train or the Thunder Mountain Train next spring. Rudy will research for discounted group rates and possible reservations. November 6 — Depot Open House Day: Special Feature: Christmas Bazaar Discussion was held about the various vendors lined up for the Christmas Bazaar at the depot. Barbara Lotz and her committee reported on the vendor booths. The depot will be available at 10:00 a.m. that day for set up. The bazaar is open from noon to 4:00 p.m. Debbie reported that signage has been ordered and will be placed in the A-frames around town beginning next week. Marianne Smith reported that she will cover the media advertising for this event and the December open house as well. December 4 — Depot Open House Day: Special Feature: Art Display of Nativity Sets Rudy and Barbara Lotz are organizing and hosting this event. Several art displays will be .. � � featured. New Business: Winter Wonderland- Friday, November 19 at 5:00 — 8:00 p.m. Debbie reported on happenings of the Winter Wonderland event. Depot will have special music features, a possible display from the "Our Memories Museum", items for sale from Snickerdoodles, refreshments served by Friends of the Depot. The Interpretive Center will be open that evening. Snickerdoodles will be decorating the interior for the open house. The Kiddy Train, Mr. & Mrs. Santa Clause, and vendors will be featured outdoors. It was suggested that the FOD members dress in "period costumes" for the evening. Men have the option to dress in formal or railroad attire. Women could wear appropriate dresses or long skirts/hats/etc. NEED: Volunteers to greet visitors at the depot, serve cookies, and operate the Interpretive Center. Please contact Barbara Lotz for more information. Purchases for the Depot: MOVED/B. Lotz, SECONDED/I. Adler to purchase a tree for the depot that can be stored and used each year in conjunction with the Holiday events at the depot and purchase a small coffee pot that can be used by the Friends of the Depot during meetings, events, open hours, etc. Those voting: Unanimous. I�llotion approved. Rudy and Barbara volunteered to shop for both items. It was determined that a fiber optic tree would be practical since it already includes lights and is easily stored. Debbie will check with Snickerdoodles and/or local florists if they would like to decorate the tree for the Holidays. Greeting Cards Available at the Depot: Debbie reported that greeting cards were purchased from Mike Condrack for sale at the gift shop. Suggested retail: $3.00 per card. Appreciation Dinner for Friends of the Depot Members — Friday, December 3, at 6:30 p.m. It was suggested that a catered meal be organized to the Friends of the Depot in lieu of the regularly scheduled meeting in December. The date of December 3� at 6:30 p.m. was set. Mary Garceau will obtain estimates from College of Idaho/Bon A Petite. Rudy will call all members for availability to attend the dinner to assist in figuring the estimated budget. Each person to bring a"white elephant" gift for the gift exchange that evening. Next Meeting: November 11, 2010 at 6:30 p.m. It was discussed that a portion of next month's meeting be dedicated to preparation of the depot for the Winter Wonderland open house event. Display cases to be reviewed, building dusted, etc., Ron Garceau offered to clean the windows prior to the event. Cookies for the Street Department Crew: Barbara Lotz reported that donations of cookies/brownies/etc. will be taken to Debbie's office on Monday, December 6 for the Street Department crew. Sheila will make a card to express our gratitude to the Street Department for their assistance throughout the year with the many depot . . � . projects.
