With permission from the owner of the space or surviving heirs. Staff meet the family to pick out new spaces. The staff reports back to the office Administrator with the correct space location. Family comes back into the office. We chat about whom License to Inter will be issued to and any other contact information (beneficiary) We fill out receipt even if they are paying through a funeral home, we note that on the receipt. We go over receipt information and we both sign it. The receipt goes into a green folder which contains: All receipts, (credit card and cemetery receipts) Monument/Decorations policy (they may need a certain type of headstone) Cemetery Fee sheet (we go over the grave fees that apply at interment time) A sheet included that has the burial search.com website scan to find graves and map of cemetery. Office Admin business card is included All the information is explained at time of purchase If space is pre-owned: Funeral home may call to set time of service. Sometimes it is a direct burial. The owner of the space is the burial. We need a family contact name and number. Who is deciding on arrangements? sometimes it is all pre done. No family or contact information. We confirm that they do have a space. We must get permission from the space owner, unless that is who burial is for. This can be oral or written. We prefer writing. The office admin assistant can e-mail the permission form to the space owner, or they can come into the office to sign it. Office Admin Assistant can sign it if they call in to give permission, on their behalf as a witness. Their name is printed and witness signs, dates states via phone/email whichever is applicable. We fill out an Interment Order form The funeral home always provides a Transit Permit and payment if applicable. If family is doing the services, they must provide the Transit Permit or a Death Certificate for each interment. Funeral Procedure: Fill out the interment order: get contact information, who is responsible for payment, do they have a space? Confirm in our CIMS program Confirm day and time: tell them we need Transit Permit or Death Certificate Write date in calendar book Place Interment Order on service board in staff office Staff confirms location: with each other and Office Admin Staff dig the hole: a day or two in advance, they cover them with boards and place orange cones. Day of funeral service: monument company brings vault in the morning. A Monticello Vault: is monument company set up, they bring chairs and lowering device. They lower casket. The cemetery still provide a tent unless trees are in the way. A Concrete box: is the cemetery’s set up, we provide the lowing device and chairs and lower the casket. A cremation service is our set up. We provide a table with a cover to place the Urn. We set up chairs and tent. We place the urn after the service and complete burial, unless family wants to place it. Sometimes a bucket of dirt is requested for services so families can scatter it on urn or casket. With the loader and equipment, we have, it is difficult to lower the casket and bury it with the family present. We prefer they leave first but whatever the family prefers is what we do. Paperwork is given to the staff or delivered to the office.
